Privacy Policy

MOAI Enterprises ("MOAI", "we") builds and runs internal software tools for small and medium-sized businesses. This policy explains what information we collect through this website and through those tools, how we use it, and the choices you have. It applies to moaienterprises.com and to the tools we host for clients on subdomains of moaienterprises.com.
Information we collect
This website. The site collects no personal information. It has no forms, no analytics and no advertising. Contacting us by email shares whatever you choose to write.
Signing in to a client tool. Our tools are private to each client. To sign in, you use your existing Google or Microsoft work account. From that account we receive only your name, your email address and, where the provider supplies one, your profile picture. We use these to confirm you are on the client's list of allowed users and to show who did what inside the tool. We do not receive your password, and we do not request access to your email, calendar, files or contacts.
Using a client tool. What you type into a tool, and the records the tool keeps (for example a draft you approve, a note you add, or a status you change), are stored for that client. Each tool records which signed-in user took an action and when.
How we use information
- To let allowed users into a client's tool and keep everyone else out.
- To operate the tool for the client, including keeping a history of actions taken in it.
- To respond when you contact us.
We do not sell personal information, and we do not use it for advertising. Where a tool uses an AI model, we use Anthropic's Claude under commercial terms that prohibit Anthropic from training its models on that content.
Text messaging
Some client tools, such as MOAI Office, work by text message. Staff of a client business text notes, photos or voice memos to a number we hold for that business, and the tool replies to the sender. This section covers that use. The full program terms are on the text messaging terms page.
What we collect. Your mobile number, the messages you send and receive on the program number, any photos or audio you attach, and transcripts of that audio. The client's business owner enrolls you; we only send to a number after it has texted the program first.
How we use it. To file what you sent as a record for your business, to reply to you with what was recorded and what is missing, and to send at most one evening summary of your own open items. We never text your business's customers or the public from the program number.
Sharing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Opting out. Reply STOP to the program number at any time and you will receive no further messages. Reply HELP for assistance.
Cookies
Client tools set a single session cookie so you stay signed in. Sessions end after eight hours, or after thirty days in tools designed to be used from a phone, or when you sign out. This website itself sets no cookies.
Where your information is processed
Your information stays within the services needed to run the tools: the hosting and database providers (Vercel, Neon, Supabase), the sign-in provider you choose to use (Google or Microsoft), the AI provider named above and, for tools that use text messaging, the messaging provider (Twilio) and the speech-to-text provider (Deepgram). Each processes it only on our instructions, to deliver the tool. Information belonging to a client's tool is available to that client. Beyond that, we release information only when the law requires it.
Retention
Sign-in details are kept for as long as you are an allowed user of a client's tool. Records inside a tool are kept for as long as the client uses the tool, then deleted or handed to the client when the engagement ends. Email correspondence is kept as long as it is useful for our work together.
We keep the history of actions taken in a tool for one further reason: to see where the product can be improved. Which drafts were edited before approval, which steps take the longest, and which features go unused tell us what to fix. We look at this in aggregate for the client's own tool, and it is never used for advertising or shared outside MOAI.
Your choices
You can ask to see, correct or delete the information we hold about you by emailing us. Access to a client tool is controlled by that client's list of allowed users; removing you from the list removes your access. Where the tool is provided to your employer, your employer decides what business records are kept.
Security
Tools are served over HTTPS, access is limited to named users, and credentials are never stored in code. No system is perfectly secure, and we will tell affected clients promptly if we learn of a breach involving their information.
Changes
If this policy changes, the date at the top changes with it. Material changes are also sent to the clients whose tools are affected.
